  • Policy for the taking of and use of photographs of children and young people

    Introduction

This policy is intended both to provide guidance to parents, children, and young people in the use of officially taken photographs and film at Vintage Church LA activities, and to establish good practice in the taking of and use of such photographs and film.

Vintage Kids and Youth leaders and staff will occasionally photograph and film activities and events involving children and young people to demonstrate kids and youth ministry at Vintage Church LA, and advertise that through publication on the Vintage Church LA website and social media outlets, as well as on posters and other publications.

Vintage Church LA is committed to and fully aware of all issues relating to safeguarding children and young people. This policy forms part of Vintage’s overall policy on the safeguarding of children and young people. A full copy of this is available on request.

Vintage Church LA recognizes that photographs need to be taken and used in a responsible way. Photographs need to respect young people’s privacy, and parents and careers rights of privacy.

While recognizing the negative aspects of using children and young people in photographs, there are numerous positive benefits and we seek to achieve an agreed, common-sense balance.

The policy is underpinned by good practice in the safeguarding of children and young people.

    Good practice

The following good practice will be adhered to:

Photographs and video images of children and young people are classed as personal data. Therefore, using such images requires the consent of their parents and/or careers.

Taking photographs of events attended by large numbers of children and young people does not require the permission of everyone in the photograph. However, the permission of any identifiable people, usually in the foreground, does need to be granted before the photograph is put on display.

Parents, children and young people need to be aware that their photograph is being taken and what its purpose is.

The photographer/video operator will wear an identification badge, or otherwise be identified.

If a child or young person’s photograph is used in a publication or on a display, the child or young person’s name should not be used in connection with the photograph.

If a child or young person’s name is used, no photograph should be used in connection with the name.

Children and young people will only be photographed in suitable dress, in order to reduce the risk of misuse of any images produced.

In activities which present specific possible risk, for example dance, any photography must focus on the event, not on a particular child or young person.

Any child or young person who is the subject of a court order will not be photographed.

Images of children and young people will be stored securely, on a dedicated place on Vintage's intranet.

If parents, careers, children or young people have any concerns about inappropriate or intrusive photography or video making, they should report the matter to the youth leader, who will make a note of the incident in the same manner as when recording any issue of child protection.

    CONSENT FORM

Vintage Church LA occasionally takes photographs or videos of our children and young people for a variety of reasons. In order to comply with good practice, we want to seek the permission of parents and careers before we take and use these images.

All photographs and other images of children will be taken and used in accordance with the policy which accompanies this consent form.

I hereby give permission for Vintage Church LA to take and use images in accordance with its Photography Policy. I understand that this also includes publication on the Vintage Church LA website and social media outlets.

There will be official photographers and video crew on-site and guests may feature in these images. Images may be used on the Focus website, in promotional material or other Vintage Church printed material. Please note that this includes children. Should you prefer that any photographs of your child are not included in any official publications, please advise the Focus office in writing in advance of the week of the event by writing to focus@vintagechurchla.com.

  • Focus guests are not allowed to bring pets on-site, with the exception of assistance dogs for persons with disabilities. Please contact the Focus office at focus@vintagechurchla.com should you need to bring an assistance dog on-site. Guests with pets on-site without permission will be asked to remove them immediately.

  • As one of our safety measures, we operate a name badge policy and these are issued to guests upon arrival at the event. It is vital that you wear your name badge at all times while at Focus. Guests without name badges will not be granted entry to any venues and will need to request a replacement from the Focus office.

  • Focus is a smoke-free, alcohol-free event, and Camp Mt. Crags/Gilmore is a smoke-free, alcohol-free camp. Anyone found in possession of smoking paraphernalia and/or alcohol will be sent home immediately. No refund will be issued.

  • We have a zero-tolerance policy on illegal drugs.  Anyone found in possession of illegal substances will be sent home immediately and may be prevented from coming to future events.  No refund will be issued.

  • We reserve the right to terminate a retreat if unreasonable or anti-social behavior, caused by those persons named on their registration, impairs the enjoyment, comfort or health of other guests. In extreme circumstances we reserve the right to escort any individual off-site.  No refund will be issued.
